Guide packet
Cash box closeout packet for school events
A closeout checklist for counting cash, noting digital payments, explaining over/short, and printing a readable handoff.
Packet note
Start with the handoff
Picture the sheet the treasurer needs after the event is over, and work backward from that.
Use one packet per cash box. Include beginning and ending bills and coins, plus room for cash added, cash removed, or anything odd that happened during sales.
Packet note
Count with two people
Two-person counts show up again and again in PTO, PTA, and booster guidance, and for good reason — they protect the counters as much as the money.
Treat it as a normal paper trail: count together, sign together, and keep the sheet with the deposit record.
Packet note
Keep advice out of it
Follow your own school, PTA/PTO, booster, district, bank, and local procedures.
Do not use a worksheet as tax, legal, banking, or food-safety advice.
