Assumptions
What the numbers assume
- Use first names, initials, or role labels. Do not enter phone numbers, emails, student data, addresses, medical notes, background-check details, or official credentials.
- Blank role start/end times mean the role is needed for the full event window.
- Blank helper availability means the helper is available for the full event window.
- Blank maximum shifts means no cap inside this local worksheet.
- The generator fills required slots before ideal extra slots and never assigns the same helper to two roles in the same time block.
- Follow your school, PTO/PTA, booster, district, supervision, safety, and background-check procedures outside this planner.
Formula notes
How the totals are calculated
- Time blocks are generated from event start to event end using the entered shift length. The final block may be shorter.
- A role applies to a time block when the block overlaps the role window. Blank role times use the full event window.
- Required slots come from minimum volunteers. Ideal slots include any extra helpers above the minimum.
- Eligible volunteers must fully cover the time block, have no other assignment in that block, and stay within their maximum shifts when one is entered.
- Candidate sorting prefers matching role preferences, then lighter assigned minutes, then fewer assigned shifts, then row order.
- Coverage percent is filled required slots divided by required slots. Critical gaps are open required slots on critical roles.
